PROJECT COORDINATOR

Canoe Hospitality, a leader in the hospitality procurement industry, is looking to hire a full-time remote Project Coordinator. The Project Coordinator will report to the Managing Director.  

Essential Duties and Responsibilities:

The Project Coordinator will successfully support the project team with minimal supervision and will be responsible for specification entry into Canoe’s internal purchasing system, Purchase Order and Change Order approval tracking, requesting of vendor invoices and tracking of payments, status report creation and management, tracking of custom submittals and approvals, interfacing with third-party logistics providers to track the movement of goods, the collection and data management of warranty information, care and maintenance instructions, and flame code certifications, and all other duties as assigned.

ABOUT YOU - THE JOB CANDIDATE:

You are self-motivated, detail-oriented, organized, and able to juggle the demands of multiple, complex projects simultaneously.  You are comfortable with large budgets, fast-paced project schedules, and working with a large group of internal and external stakeholders.  You have no problem jumping in on an ongoing project to help drive it to completion. You do not need to be micro-managed. You know all the details and you organize them flawlessly. You anticipate project issues and openly discuss solutions with the project team.  You will adapt quickly to Canoe’s software, project management, and procurement processes.

Ideal Candidates will have:

  • At least 2 years experience working in a project coordination role in FF&E and/or OS&E. Candidates with prior hospitality industry experience is preferred

  • Experience and proficiency with Microsoft Office 365 programs (including Excel, Outlook and Word) and modes of remote communications (Microsoft Teams)  

  • The ability to manage deadlines and schedules across multiple accounts while maintaining an awareness of task prioritization

  • A fine-tuned attention to detail and obsession with accuracy and ethics

  • A high level of organizational skills displayed through the production of accurate and dependable work product

  • Exceptional verbal and written communication skills applicable  both externally, with clients and vendors, as well as internally, with team members across multiple digital platforms 

  • An openness to coaching and growth, shown through focused and engaged listening

  • A willingness to always ask questions and seek clarity and precision

  • The utmost integrity and commitment to Canoe Hospitality

  • Must be able to visit a construction and installation site and environment which includes unfinished spaces, and physical movements including bending, kneeling, climbing, and lifting up to 25 pounds

  • Ability to identify problems and strategize for better solutions
