Canoe Hospitality is a premiere hospitality procurement firm specializing in furniture, fixtures & equipment (FF&E) and operating supplies & equipment (OS&E) for hotels, resorts, and branded properties. Canoe is a fully remote company; every team member works remotely from across the United States, with a business office in Annapolis, Maryland. We manage the full procurement lifecycle on a turn-key basis, including forecasting, strategic sourcing, purchasing, logistics, installation, and closeout, delivering projects on budget, on schedule, and to brand standard.

POSITION SUMMARY:

We are seeking an experienced, detail-oriented Project Manager to manage the day-to-day execution of OS&E procurement across multiple hospitality projects. This role is responsible for coordinating guestroom, front-of-house, meetings and events, back-of-house, housekeeping, engineering, food and beverage, spa, and other operating supply categories through the full purchasing lifecycle. The Project Manager will oversee budgeting, bidding, purchase order preparation, vendor coordination, expediting, logistics, installation readiness, and closeout, with a strong focus on accuracy, organization, schedule management, and operational completeness.

KEY RESPONSIBILITIES:

  • Manage selected OS&E projects through all steps of the procurement process, including forecasting, cash-flow projection, accounting coordination, scheduling, strategic sourcing, purchasing, logistics, delivery, installation, and closeout, while maintaining alignment with project budgets, schedules, brand standards, and operational requirements.

  • Prepare, issue, and track purchase orders and change orders, and maintain accurate project budgets, cash-flow forecasts, procurement schedules, vendor records, and supporting documentation throughout the life of each project.

  • Coordinate with vendors and suppliers to obtain pricing, confirm product availability and lead times, resolve discrepancies, monitor production and shipping, and support on-time, on-budget delivery in accordance with approved specifications and applicable brand standards.

  • Maintain complete, current, and accurate project data and records within Canoe’s procurement systems, including Sigma or comparable platforms, with particular attention to budgets, purchase orders, invoices, approvals, expediting information, delivery status, and closeout documentation.

  • Support the Project Director and senior team on high-volume projects and during peak procurement cycles by assisting with bidding, budgeting, reporting, vendor communication, client coordination, issue resolution, and other project-specific priorities.

  • Ensure compliance with applicable hotel brand standards by reviewing procurement requirements, confirming approved products and vendors, identifying exceptions or gaps, and coordinating with owners, operators, and project stakeholders to resolve outstanding compliance issues.

REQUIRED QUALIFICATIONS:

  • 5 years of procurement, purchasing, or project-coordination experience; hospitality or OS&E experience required.

  • Extensive knowledge base of OS&E commodities, products, and suppliers.

  • Ability to collaborate and communicate effectively with brands, operators, and clients to ensure exceptional customer service is provided to all external partners.

  • Highly organized and detail-oriented, with the ability to manage multiple projects and deadlines simultaneously.

  • Comfort with procurement / project-management software and spreadsheets.

  • Strong written and verbal communication and vendor-coordination skills.

  • Self-directed, with the discipline to excel in a fully remote environment.

PREFERRED QUALIFICATIONS:

  • Familiarity with major hotel brand standards (Marriott, Hilton, Hyatt, etc.).

  • Understanding and working knowledge of the hospitality GPO ecosystem.
